Constitution of the Harvard Story-Time Players

Article I. Name
The name of the organization shall be Harvard Story-Time Players.
Article II. Purpose
Harvard Story-Time Players shall strive to bring joy to children residing in hospitals in the greater Boston area through theatrical performance and interaction on a level that is age-appropriate. Harvard Story-Time Players shall at all times seek to foster good relations among its members, the Harvard community, and the community at large.
Article III. Membership
- Membership in this organization shall be open to all students in good standing currently enrolled in Harvard College, regardless of race, creed, color, sex, sexual orientation, or physical disability.
- Membership shall be contingent upon participation in any aspect of one production per academic year or administrative, organizational, or other assistance to the organization at large.
- Membership shall be retained until the student severs relations with the University whether by graduation or otherwise, contingent upon affirmation of member-status at the start of each academic year. Membership will be retained during the vacations and recesses of the University.
- Any member may resign at any time by notifying the Secretary.
Article IV. Officers
- The officers of the group shall comprise an executive committee consisting of a President, Vice-President, Membership Director, Public Relations Director, Secretary, Treasurer, Member-at-Large, and other officers as may be designated by the group.
- All officers shall be registered undergraduates in Harvard College.
- The President shall be chief executive officer of the group and shall have general supervision and control of its activities and programs.
- The Vice-President shall be responsible for creative and logistical oversight of performances.
- The Public Relations Director shall be responsible for communicating with hospitals and the community at large.
- The Membership Director shall be responsible for the oversight of membership activities, recruiting, and member relations. He or she shall maintain a list of active members.
- The Treasurer shall be responsible for the financial affairs of the group. He or she shall keep accurate records of these affairs and shall provide a financial report upon request. At the beginning of each semester, the Treasurer shall meet with the President to prepare a budget for the term.
- The Secretary shall be responsible for keeping accurate records of all executive committee meetings, general member meetings. He or she shall also conduct elections for the Executive Committee. If the Secretary is running in elections, the Executive Committee shall appoint a separate election chair.
- The Member-at-Large shall assist the other members of the executive committee. He or she shall represent the interests of the general membership. The Member-at-Large shall also serve as parliamentarian.
- Should the President resign or be removed from office by a two-thirds majority vote of the executive committee, the Vice-President shall serve as interim president until new elections may be held and another president selected by the membership. Such an election shall occur within two weeks of the President’s removal and follow the same procedures as regular elections.
- Should any officer besides the president resign or be removed from office by a two-thirds majority vote of the executive committee, the President shall make such arrangements as necessary for the officer’s duties to be carried out until new elections may be held and a new officer selected by the membership. Such an election shall occur within two weeks of the officer’s removal and follow the same procedures as regular elections.
- Officers shall be responsible for the creation of subcommittees and appointing of positions within their respective branches of the organization, pursuant to approval by the executive committee.
Article V. Elections
- Officers shall be elected annually by a quorum of no less than fifty percent of the members of the group. Elections shall be held the week after the College’s spring recess under the aegis of the Secretary.
- The term of office shall start on the first day of summer recess and shall terminate on the last day of the following academic year.
- Any undergraduate member of the group may be nominated for election. The Secretary shall inform all members of the election date at least two weeks in advance. All members shall have one vote by secret ballot. Members may vote in absentia by emailing the Secretary; such ballots shall be accepted until one hour before the election. Nominations may be filed with the Secretary up to one week in advance or may be made from the floor.
Article VI. Meetings
- The executive committee shall meet no fewer than once every two weeks while classes are in session, unless the President deems otherwise. All meetings shall be open to the general membership at the discretion of the majority of the executive board.
- Meetings may be called by the President or by a majority of the executive committee.
- A quorum in executive committee meetings shall be constituted by a simple majority of officers.
- The President shall chair all meetings. In the President’s absence, the Vice-President shall chair.
- All members of the executive committee shall have one vote on all matters brought before them.
- There shall be at least one general meeting held each semester.
- The Secretary shall communicate notice of special and general meetings to all members.
Article VII. Amendments
- This constitution may be amended by a two-thirds vote of the executive committee.
- Any member of the executive committee may propose an amendment, whereupon it shall be considered for no less than three days by the committee and subsequently voted upon.
